What fee collection looks like today

Most districts collect fees through a mix of envelopes, portals, and spreadsheets. Nobody has the full picture.

  • Cash and checks in envelopes

Fees come to the front office in envelopes and sit in a drawer until someone counts them. Cash handling is one of the most common school audit findings.

  • Families juggle logins

One site to see what they owe, another to pay it, a third for fundraisers. Each has its own login and its own convenience fee.

  • The business office builds it all

A teacher sends a request, the office builds the pay item, and parents type in a name and student ID. Who still owes lives in a spreadsheet.

One place families go

Today a family might see what they owe in one system, pay it in another, and find the fundraiser in a third. With SuccessFund, every school gets one page with fees, events, sign-ups, the school store, and fundraisers.

The page builds itself from what’s live in SuccessFund. There’s no store page to maintain, and nothing to rebuild each year.

Online payment solutions for schools, the way families pay

Families pay the way they pay for everything else. You get the same clean record no matter how they pay.

  • Venmo
  • Apple Pay
  • Google Pay
  • PayPal
  • Card
  • Cash and check

Card, Apple Pay, Google Pay, and PayPal

Families pay with what is already on their phone. One payment services fee covers card processing. You decide whether families or the district cover it, and we set it up that way.

Venmo, with a full record

Many districts ban Venmo for fees because it leaves no record. On SuccessFund, every Venmo payment is tied to a student and a fee, and lands in that fee’s fund.

Payment plans and autopay

Split a fee into weekly, monthly, or quarterly payments. Families can turn on autopay with a saved card, Apple Pay, or Google Pay.

Cash and checks, with a receipt

Log cash and check payments against the student, and the family gets a receipt. Every dollar shows up in the same reports as online payments.

School payment software that keeps the whole record

SuccessFund is your one record for school fees. Your SIS provides students and guardians, and that's it. No SIS fee module needed.

  1. 1

Sync your roster from your SIS

Students, grades, and guardians come over from PowerSchool, Skyward, Infinite Campus, or any OneRoster SIS. Nothing is written back, so your SIS stays exactly as it is.

  2. 2

    Create and assign fees

Set the amount and due date, and pick the fund it deposits to. Each fund carries its account code. Assign the fee to a school, a grade, a group like the band, or single students. The district decides who can create fees, so the business office can hand it to campuses or keep it.

  3. 3

Families pay, and you see it

Balances update as payments come in. Money deposits weekly to your district bank accounts.

Less work for everyone who touches a fee

For teachers and coaches

  • See who has paid without asking the office for a report.
  • Log cash and checks on a phone, with a receipt to the family.
  • No more open-amount items. Partial payments track themselves.

For the business office

  • Stop building pay items by hand. Campuses can create their own fees, if you let them.
  • Refunds stay with the people you choose.
  • Waive or adjust a fee in a few clicks, with a record of who did it.
  • Automatic reminders to families when a fee is assigned, a week before it’s due, and when it’s late.

For finance

  • A deposit report for every deposit, with the school, fund, and account code on each line.
  • Account codes set once on each fund, so every fee posts to one.
  • Fee deposits kept separate from fundraising deposits.
  • Works on a phone, not just a desk.

Frequently Asked Questions

Does it work with our student information system?

Yes. Sync your student roster from your student information system, including PowerSchool, Skyward, Infinite Campus, and any SIS that supports OneRoster, so every fee and payment is linked to a real student. Fees, payments, and balances are managed in SuccessFund, which becomes your one record for school fees.

Do we still need our SIS fee module?

No. Fees, payments, and balances all run in SuccessFund. Your SIS only provides your roster, so you can cancel the fee module you pay for today.

We already use RevTrak, MySchoolBucks, or another payment portal. How hard is it to switch?

Easy. Your schools are already in SuccessFund. We sync your roster from your SIS, set up your account codes and bank accounts, and each school gets its own fee page automatically. Families sign in with their email and see what their students owe. That’s it. It’s so easy that districts are switching all through the school year.

How can families pay school fees?

Online with Venmo, Apple Pay, Google Pay, PayPal, or a card. Recurring fees can be paid on autopay. Cash and checks can be logged by school staff, so every payment is in one place.

What does it cost?

SuccessFund is free for the district, with no setup fee, subscription, or contract. Every payment has a payment services fee that covers credit card processing. You decide whether families or the district cover it, and we set it up that way.

Who creates the fees?

Whoever you choose. Creating fees is a permission the district grants. Some districts keep it in the business office. Others give it to campus staff, who can only create fees for their own school. Every fee deposits to a fund you set up, with its account code.

Can we waive fees for students who qualify?

Yes. Waive fees for one student or a list of students, and set yearly caps per student or per family. Every waiver is recorded with who made it and when.

Can families pay part of a fee?

Yes, if you allow it. You choose for each fee whether partial payments are allowed. The balance updates with every payment.

Where does the money go?

Payments deposit weekly to your district bank accounts. Each fee deposits to a fund with its own account code, and fee deposits are kept separate from fundraising deposits, so they are easy to post.

Can our schools use SuccessFund for fundraisers too?

Yes. Fees, fundraisers, school stores, and events all run on SuccessFund, with one sign-in for families and one set of reports for the district.
